Office & Experience Coordinator
Job Overview
We’re looking for an organized, upbeat, and people-focused Office & Experience Coordinator to help run the day-to-day operations of our NYC office while enhancing the overall employee and guest experience.
This role is part facilities coordination, part culture and events support - ensuring our space is functional, inspiring, and reflective of who we are. You’ll manage the daily rhythm of the office, assist with onboarding, and support event logistics across internal gatherings, client activations, and FiveTwoNine events.

Responsibilities
Office Management & Facilities
Oversee the day-to-day running of the NYC office, ensuring it’s clean, safe, and well-stocked.
Act as the main point of contact for building management, cleaning services, and vendors.
Manage deliveries, mail, and packages, including the collection and distribution of incoming mail and outgoing shipments.
Communicate proactively with the cleaning company to arrange additional services after events or on non-cleaning days when needed.
Manage inventory for office supplies, snacks, beverages, and equipment, ensuring items are replenished regularly.
Maintain the look, feel, and flow of the office to reflect our brand and team culture.
Coordinate maintenance and repairs, ensuring compliance with health and safety standards.
Ensure vendor invoices and utility bills are promptly forwarded to the Finance Department for processing and payment.
Employee Onboarding & Experience
Partner with U.S. People Manager to deliver seamless onboarding from computer setup to office tours and introductions.
Be a friendly, helpful presence for employees and guests, helping create a positive and inclusive environment.
Support culture and engagement initiatives in collaboration with the Senior Executive Assistant and U.S. People Manager.
Event & Experience Support
Provide event coordinator support for internal gatherings in partnership with the Senior Executive Assistant and U.S. People Manager (logistics, setup, and day-of execution).
Provide event coordinator support for external-facing client activations and FiveTwoNine events in partnership with the Marketing Manager (logistics, vendor coordination, and on-site execution).
Assist with hospitality for guests, creators, and visiting team members to ensure a seamless on-site experience.
Coordinate post-event resets, including cleaning schedules and supply replenishment.
IT & Operational Support
Coordinate with the U.K. IT team to manage office hardware needs.
Track office equipment and handle light troubleshooting for in-office tech issues.
Support hybrid meeting setups (cameras, microphones, conferencing tools) for smooth collaboration.
Skills & Attributes
2–4 years of experience in office coordination, workplace operations, or employee experience.
Exceptionally organized, with the ability to prioritize and manage multiple workstreams.
People-centered and partnership-oriented - you take ownership, anticipate needs, and communicate clearly.
Strong interpersonal skills; confident engaging across teams and seniority levels.
Tech-comfortable with Google Workspace, Slack, Zoom, and similar tools.
Energized by creative, fast-paced environments and proud of high standards in space and experience.
